Your event data should be yours

ema team··3 min read

Your event data — attendee records, exhibitor information, schedule history, financial transactions, documents, communications — should be exportable, portable, and yours. This shouldn't be a controversial position, but in the event tech industry, it apparently is.

The quiet lock-in

Many event platforms make it surprisingly difficult to leave. Not by being openly hostile about it, but through small friction points that add up.

Data exports that give you CSVs with half the fields missing. No way to export documents or attachments in bulk. Historical data that's only accessible through the platform's interface, not downloadable. API access locked behind enterprise tiers so you can't programmatically extract your own information.

This isn't accidental. It's a retention strategy. If switching platforms means losing three years of attendee history, exhibitor compliance records, and financial data, most teams will stay — even if the platform isn't working for them anymore. The switching cost becomes the product's moat.

Let's be clear about something: this is a business decision, not a technical limitation. Exporting data is not hard. Every modern database can produce complete exports. When a platform makes export painful, they chose to make it painful.

What data portability actually looks like

At ema, our position is straightforward: your data is yours, and you can take it whenever you want.

Full export, any time. Every record type in ema — events, registrations, exhibitors, speakers, programmes, documents, financial data, communications — is exportable. Not a summary. Not a subset. The complete data, in a usable format.

API access to everything. If you can see it in ema, you can pull it through the API. This means you can build your own backup processes, sync data to your internal systems, or do a complete extraction at any point. The API isn't gated by plan tier or priced per call.

No exit penalties. We don't charge migration fees, hold data hostage during contract negotiations, or make you submit a support ticket and wait two weeks for an export file. You click export, you get your data.

Why this matters beyond switching

Data portability isn't only about leaving a platform. It's about how you work while you're using one.

When your data is truly portable, you can feed event data into your organisation's reporting tools. You can archive historical records in your own systems. You can run cross-platform analysis if you use different tools for different event types. You can meet compliance requirements that demand you maintain independent copies of attendee data.

Portability means your event platform is part of your technology stack, not a silo sitting next to it.

The trust argument

Here's what we believe: if the only reason a customer stays is because leaving is too hard, you've already lost that customer. You just haven't processed the paperwork yet.

We'd rather keep customers by being genuinely useful than by making it expensive to walk away. If ema stops being the best tool for your events, you should be able to leave cleanly, with all your data, and without a penalty.

That's not a risk for us. It's an incentive. It means we have to keep earning your business every month, which is exactly how it should work.

The standard should be higher

The event industry should expect more from its software vendors on this front. When you evaluate platforms, ask these questions: Can I export all my data, in full, at any time? Is API access available on my plan? What happens to my data if I cancel?

If the answers are vague, that tells you something. Your data should be yours. Full stop.
